Code of Conduct & Compliance Policy
The ethical standards expected of everyone acting for Multisolution Agency.
1Purpose and Scope
This policy sets out the standards of ethical conduct expected of the proprietor, employees, contractors, freelancers, vendors, and other representatives acting for Multisolution Agency. It is intended to support responsible business conduct and must be read together with applicable law, client contracts, and project instructions.
2Legal and Ethical Compliance
Everyone acting for the company must comply with applicable laws, contractual obligations, and project rules; provide accurate information; maintain appropriate business records; protect confidential information; and raise concerns about suspected misconduct. This policy does not replace legal advice or any mandatory legal obligation.
3Anti-Corruption and Bribery Prevention
The company prohibits offering, giving, requesting, or accepting bribes, kickbacks, or improper advantages to influence a business decision. Gifts, hospitality, and payments must never be used to improperly influence clients, suppliers, public officials, or other parties. Any questionable request or suspected violation should be reported to the proprietor or management.
4Anti-Money Laundering and Financial Integrity
The company will not knowingly participate in money laundering, terrorist financing, fraud, or concealment of the proceeds of crime. Payments and invoices should be accurately recorded, and unusual or suspicious payment requests should be escalated to management. Applicable legal and financial recordkeeping requirements must be followed.
5Modern Slavery and Human Rights
The company does not tolerate forced labour, human trafficking, child labour prohibited by law, or exploitative working practices. Contributors and suppliers must be treated fairly, and work must be voluntary and conducted under lawful conditions. Concerns about coercion, exploitation, or unsafe work should be reported promptly.
6Fair Competition and Anti-Trust
The company competes fairly and does not engage in unlawful price-fixing, bid-rigging, market allocation, or improper exchange of competitively sensitive information. Business decisions must be made independently and in compliance with applicable competition laws.
7Conflicts of Interest
Representatives must disclose actual or potential conflicts of interest that could affect impartial business decisions. Company opportunities, resources, or confidential information must not be used for personal gain in an unauthorized manner.
8Data Protection and Confidentiality
Personal information, client data, project materials, credentials, and confidential business information may be accessed or used only for authorized purposes. Representatives must follow applicable privacy requirements, client instructions, consent and permissions requirements, and reasonable security practices. Data must not be copied, disclosed, reused, or retained outside the authorized scope.
9Accurate Records and Responsible Payments
Business records, timesheets, task reports, invoices, expenses, and payment details must be accurate and not misleading. Falsification, fraud, and unauthorized payments are prohibited. Any suspected irregularity must be raised with management.
10Reporting Concerns and Non-Retaliation
Employees, contractors, freelancers, vendors, and other representatives may report suspected misconduct, policy violations, fraud, bribery, exploitation, or data misuse to the proprietor or management directly or by email at connect@multisolutionagency.in. Reports should include enough detail to allow review. Concerns will be handled as discreetly as reasonably possible, subject to a fair review and applicable law. Retaliation against a person who raises a concern in good faith is prohibited.
11Review and Corrective Action
Reports will be reviewed proportionately. Where a violation is identified, the company may take appropriate corrective action, which may include additional instructions or training, access restrictions, removal from a project, termination of a business relationship, or referral to the relevant authority where legally required.
12Responsibilities and Acknowledgment
Management is responsible for communicating this policy and reviewing it periodically. Individuals working with the company are expected to read, understand, and follow it and to ask management if they are unsure how it applies.
